ABA Practice Operations

Great Care Needs Great Operations Behind It.

Between the first family inquiry and the first session, there’s a lot that has to go right.

Intake. Insurance. Authorizations. Staffing. Scheduling. And about a hundred moving pieces in between.

The Capri Collective brings those functions together, giving your practice an experienced operational team without having to build every department in-house.

Intake → Benefits → Authorizations → Capacity → Scheduling

The reality of running an ABA practice

It’s Rarely Just an Intake Problem. Or a Scheduling Problem.

  1. 01

    Referral

A referral comes in, but the family hasn’t been contacted.

  2. 02

    Benefits

Benefits were verified, but the authorization is still pending.

  3. 03

    Authorization

The authorization is approved, but nobody has confirmed staffing.

  4. 04

    Capacity

A technician becomes available, but the schedule hasn’t caught up.

  5. 05

    Schedule

Everyone is spending their day figuring out where something got stuck.

Sound familiar?

The problem isn’t always that you need more people. Sometimes you need the right processes, better visibility, and a team that understands how each function affects the next.

That’s what we bring together.

The work behind the work

From First Contact to a Working Schedule.

Our managed operations services connect the administrative functions that keep families moving toward care and practices running efficiently.

01

Intake & Family Coordination

  • — New referral intake and tracking
  • — Family outreach and follow-up
  • — Consultation scheduling
  • — Intake documentation collection
  • — Pipeline updates
  • — Communication with designated practice contacts
  • — Escalation of stalled referrals

A more organized intake pipeline with clearer next steps.

02

Benefits & Eligibility

  • — Insurance eligibility verification
  • — Benefit verification and documentation
  • — Coverage-related administrative follow-up
  • — Identification of benefit questions or potential barriers
  • — Coordination with intake and authorization workflows

Verification does not guarantee payment or coverage.

Better visibility into coverage information before services begin.

03

Authorization Management

  • — Administrative authorization request preparation
  • — Submission and tracking
  • — Payer follow-up
  • — Renewal tracking
  • — Expiration monitoring
  • — Communication of authorization status
  • — Coordination with clinical staff for required documentation

Clinical assessments, medical necessity determinations, treatment recommendations, and clinical documentation remain the responsibility of qualified clinical professionals. Payers control approvals.

Fewer authorization tasks left without an owner.

04

Scheduling & Capacity Coordination

  • — Client scheduling coordination
  • — Staff availability tracking
  • — Schedule maintenance
  • — Routine cancellations and adjustments
  • — Restaffing coordination
  • — Open-hour visibility
  • — Authorization-aligned schedule reviews
  • — Communication with designated clinical or staffing leads

Staffing, utilization, and appointment coverage are not guaranteed.

Better coordination between authorized hours, staffing availability, and the actual schedule.

05

Operational Reporting & Accountability

  • — Intake pipeline reporting
  • — Pending authorization visibility
  • — Scheduling bottleneck identification
  • — Capacity and open-hour tracking
  • — Workflow status reporting
  • — Defined escalation procedures
  • — Operational performance reviews where included in the agreement

Leadership has a clearer picture of what is happening and what needs attention.

06

Process & Workflow Improvement

  • — Standard operating procedures
  • — Workflow mapping
  • — Administrative handoff improvements
  • — EHR workflow optimization
  • — Process documentation
  • — Role and responsibility clarification
  • — Operational improvement recommendations

Processes that are easier to manage, repeat, and scale.

The specific functions and volume included depend on the selected service package.

How we can help

The Support You Need. Without Building Another Department.

Some practices need help moving new families through intake. Others need someone keeping the entire operational process together. We offer three levels of managed support, with a separate option for executive-level operational leadership.

Inquiry to authorization

Capri Intake-to-Care

For practices that need a more reliable path from inquiry to authorization.

Includes

  • — Referral intake and tracking
  • — New family outreach and follow-up
  • — Consultation scheduling
  • — Intake paperwork coordination
  • — Benefits and eligibility verification
  • — Administrative authorization submission and follow-up
  • — Authorization status tracking
  • — Handoffs to clinical and scheduling teams
  • — Intake pipeline reporting

Best for

Practices that have their own scheduling and operational leadership but need help keeping the intake-to-authorization process moving.

Let’s Talk Intake-to-Care

Shared-team service with defined monthly referral, authorization, communication, and coverage allowances. Not a dedicated full-time intake employee or unlimited live-answering service.

Integrated Support

Capri Nerve Center Essential

Your intake, authorizations, and scheduling—working together.

  • — Operational status reporting

Smaller practices that need an integrated administrative operations team but are not ready to hire separate full-time staff for every function.

Explore Nerve Center

Designed for defined, lower-volume operational workloads. Client census alone does not determine eligibility; scheduling complexity and transaction volumes matter.

Growing operations

Capri Nerve Center Growth

  • — Higher scheduling coordination capacity

Best for

Growing ABA practices with increasing referral volume, more scheduling activity, and a need for stronger operational coordination.

Discuss Growth Support

Monthly workload limits, communication expectations, and operating coverage are established during onboarding. High-volume, multi-site, or unusually complex engagements receive a tailored support plan.

Let’s find the right fit

Solutions Built Around Your Business

We’ll shape your support around referral volume, authorization activity, scheduling, and the people keeping it all moving. Start with the functions you need most, with room to adapt as your practice grows.

Let’s Talk

Beyond the day-to-day

Sometimes You Need More Than Another Set of Hands.

You may already have the people. What you need is someone making sure the right work is getting done, the numbers make sense, and the departments aren’t operating in silos.

Capri Embedded Operations brings experienced operational leadership into your organization without the commitment of another full-time executive hire.

Technology flexibility

Your EHR Works for You. We Work With It.

Already using an EHR you like? No need to change it just to work with Capri. We can operate within your existing platform, using approved access and workflows to manage the services we’ve agreed to provide. If you’re exploring new technology, we can also introduce you to ABA Engine, our independent collaboration partner.

Your existing EHR

Keep the system you know.

We evaluate your current platform, establish appropriate access, and coordinate the contracted workflows within your existing technology. Support for ABA practice-management systems is subject to compatibility and appropriate access; no certified integration or formal vendor partnership is implied.

Explore ABA Engine

Considering something new?

Through our collaboration with ABA Engine, practices can explore an ABA-focused technology platform alongside Capri’s operational and implementation expertise.

Meet ABA Engine

ABA Engine is an independent technology provider and collaboration partner of The Capri Collective. Software subscriptions are contracted and billed separately. Capri does not own or develop ABA Engine.

Your operational workload—not the EHR brand—shapes the support we recommend. Implementation or migration needs are discussed separately before work begins.

Built by people who have run the operations

We’ve Been on Both Sides of the Spreadsheet.

We’ve managed growing ABA organizations, built teams, opened locations, worked through payer challenges, and handled the day-to-day operational problems that don’t always show up in a leadership report.

We know what happens when intake doesn’t communicate with scheduling. When authorizations aren’t visible. When staffing plans and actual capacity don’t match. Our approach is shaped by real operating experience, not just recommendations from the outside.

Operational Experience

Our leadership brings hands-on experience overseeing ABA organizations, operational teams, and complex healthcare workflows.

Coordinated Delivery

We bring the contracted functions together through shared processes, defined responsibilities, and consistent reporting.

Built to Scale With You

Whether you’re opening your first practice or expanding an established organization, we structure support around the operational workload you actually have.

Our process

We Get to Know the Operation Before We Take It Over.

  1. 01

    Understand the Practice

We review your current systems, active census, monthly referrals, authorization workload, scheduling processes, and operational challenges.

  2. 02

    Define the Scope

We determine which functions Capri will manage, establish workload allowances, identify responsibilities, and agree on communication and escalation expectations.

  3. 03

    Build the Workflow

We coordinate access, document the process, establish reporting, and prepare the operational handoffs needed to begin.

  4. 04

    Run & Refine

Our team manages the agreed work, monitors bottlenecks, and recommends adjustments as the practice evolves.

No mystery deliverables. No undefined responsibilities. Just a clear understanding of what we’re managing and how we’ll work together.

Your questions

A Little More Clarity.

Do we need to use ABA Engine?

No. We can work within your existing EHR when it supports the contracted workflows and appropriate access. ABA Engine is an optional technology partner for practices considering a different platform.

Can we keep our current EHR?

Yes, when it supports the workflows and appropriate access. We shape support around your operational workload, not the software brand. Implementation or migration needs are discussed separately.

Can we hire Capri for intake only?

Our Intake-to-Care service is designed to manage the connected intake, benefits, and authorization process. More limited engagements may be considered based on the practice’s needs.

Do you provide a dedicated employee?

Our standard packages use a coordinated, shared Capri team. Dedicated staffing arrangements, if available, require a separate agreement.

Will you answer calls from families?

Family outreach, callbacks, and consultation coordination may be included within the contracted service. Live-answer coverage, service hours, call volumes, and response expectations must be agreed upon in advance.

Do you handle authorizations?

We manage the administrative components of authorization submission, tracking, and payer follow-up. Clinical documentation, treatment decisions, and medical necessity determinations remain with qualified professionals.

Can you manage our scheduling?

Yes. Scheduling coordination is available through our Nerve Center services. The level of support depends on scheduling activity, staffing complexity, and the agreed scope.

Can Capri replace our existing administrative team?

Depending on your workload and engagement, we may manage selected functions or supplement your current staff. We assess the work before recommending a structure.

Is billing included?

No. Comprehensive revenue cycle management is offered separately through Capri Revenue360 unless included in a custom agreement.

What if our practice grows?

We review changes in workload and can adjust the service scope or package as needed. Additional work is not automatically unlimited.

Is there a long-term commitment?

Engagement terms are specified in each service agreement.
