How the template is marked

Every field tells you what to do.

[YELLOW BRACKETED TEXT]

A fill-in field. Replace it with your organization’s information. Many fields include an example after “e.g.”

Blue Drafting Note boxes

Guidance for you as the author. Read each one, act on it, then delete the box before you publish.

Amber Optional Policy boxes

Policies that apply only to some organizations. Keep the section and delete the box, or delete the whole section.

“Option A / Option B” fields

Choose one option, delete the other, and remove the brackets.

Customize in eight steps

From template to your handbook.

  1. 01Save a working copy and keep the original file untouched.
  2. 02Replace the core fields first with Find and Replace — company name, HR department, HR email and system names.
  3. 03Work section by section through the remaining policy choices, such as PTO accrual, attendance points and notice periods.
  4. 04Decide on optional policies, then renumber sections and update cross-references if you delete one.
  5. 05Build your State Supplements by duplicating the template for each state where you have employees.
  6. 06Brand it — add your logo and change colors and fonts by editing the Heading and Normal styles.
  7. 07Clean up: delete every Drafting Note box, remove the yellow highlighting, then update the table of contents.
  8. 08Get legal review in each state where you operate, then collect a signed Acknowledgment from every employee.

Field index

233

distinct fill-in fields — 377 placements across the fields that repeat

The Setup Guide lists the fields that appear in more than one place, so replacing those first with Find and Replace saves the most time.

Upload the .docx to Google Drive and open it with Google Docs. Fields, highlights, tables and forms carry over.

License

One organization, clearly defined.

Your purchase grants a non-exclusive, non-transferable license for one organization, including its affiliated locations under common ownership.

You may

  • — Edit and customize the template for your own organization’s internal use
  • — Distribute the customized handbook to your own employees, contractors and advisors
  • — Convert the template to other formats, such as Google Docs, PDF, an HRIS or an e-signature platform

You may not

  • — Resell, sublicense, share or give away the template or any substantial portion of it, whether edited or unedited
  • — Use the template to create handbooks for clients or other organizations, or as part of a consulting service, without a separate Consultant License
  • — Post the template, in whole or in part, where it can be downloaded by others

Before you buy

This template is provided for general informational purposes and is a starting point for drafting your own policies. It is not legal advice, and purchasing or using it does not create an attorney-client relationship. Employment laws vary by state, city and county, change often, and depend on facts specific to your organization. The State Starter Notes summarize selected requirements as understood in mid-2026 and may be incomplete or out of date. Before using any policy, have it reviewed by a licensed employment attorney in each jurisdiction where you operate.
